Service before the season, not during it
The principle is simple and frequently violated: heating systems are serviced in late summer, cooling systems in early spring. Far enough ahead that a fault found during the service can be rectified before the equipment is needed, and that a part on a long lead time can arrive. Standby plant needs exercising
The most common seasonal failure is not equipment that wore out but equipment that sat still. Standby pumps, generators, backup boilers and secondary systems degrade in storage differently from how they degrade in use, and the failure is discovered at the moment they are needed.

Use the quiet season for the disruptive work
Every building has a period when it is less occupied or less demanding: a holiday shutdown, a summer in an education setting, a quiet week in a seasonal business.
That period is the only time certain work is possible at reasonable cost and disruption — isolations, drain-downs, work in occupied areas, anything requiring a system to be off for a day. Maintaining a running list of work waiting for a shutdown, captured as items are noticed rather than remembered later, is what makes those windows productive.
Plan the weather-dependent work with slack
External work — roofing, drainage, painting, high-level access — is weather-dependent, and a schedule that assigns it a single date will fail some of the time.
