The asset register comes before the schedule
A maintenance plan built on an inaccurate list of assets is a plan for a building that does not exist.
Every planned maintenance programme rests on a list of what is actually on site. Almost every organisation believes it has that list, and almost none has one that survives a walk round the building. Plant gets replaced and the register keeps the old model. Equipment is decommissioned and the schedule keeps generating jobs for it. A tenant fit-out adds four fan coil units that nobody recorded. The schedule continues to look complete while quietly drifting away from the building.
What the register has to carry
More than a list of names. For each asset, the fields that actually drive decisions are these:
- A unique identifier that is physically on the asset, not only in the system. If a technician cannot tell you which record they are standing in front of, the data will be attached to the wrong one.
- Location, precise enough to find it without asking. Floor, room, and where in the room.
- Make, model and serial. This is what turns a generic interval into the manufacturer's actual requirement, and what makes parts ordering possible.
- Installation or commissioning date, which is the basis of any remaining-life judgement.
- Criticality — what stops working, and for whom, when this asset fails.
- Whether it carries a statutory inspection requirement.
Without it every asset is implicitly equal, which means the schedule allocates the same care to a plant room pump as to a lighting circuit in a corridor. Almost no building justifies that. For a wider operational and compliance reference, consult DOE operations and maintenance guidance.
Build it by walking the building
Registers assembled from drawings, handover documents and previous spreadsheets are always partly fictional, because those sources describe intent rather than what was installed and what has happened since.
The only reliable method is a physical survey. It is tedious, it takes a competent person several days for a mid-sized site, and it is the single highest-value piece of work a maintenance department can do in its first month. Everything downstream — the schedule, the budget, the contractor specification, the lifecycle plan — inherits its accuracy from this exercise.
Label as you go
The survey is the moment to apply permanent identifiers. A register with identifiers that exist only in software creates a matching problem on every subsequent visit, and matching problems are resolved by guessing.
Durable labels, applied in a consistent position, readable in poor light with a torch. This sounds trivial and it determines whether the next five years of data are attached to the right records.
Decide the granularity deliberately
How finely to break down an asset is a real decision with consequences. An air handling unit can be one record or fifteen — unit, fans, filters, belts, coils, dampers, controls.
Too coarse and you cannot see which component keeps failing, so replacement decisions are made on impression. Too fine and the register becomes a maintenance burden of its own, and technicians stop updating it because closing one job means touching six records.
A workable rule is to create a record wherever you would want a separate maintenance history or a separate replacement decision. Everything below that is a task on the parent record, not a record of its own.
Then keep it current, by process
A register decays from the day it is completed unless updating it is attached to something that already happens.
The three natural attachment points are project handover — no new plant accepted into service without a register entry; work order closure — a replaced component updates the record as part of closing the job; and an annual sample audit, physically checking a defined percentage of records rather than the whole register.
Registers maintained by good intentions are re-surveyed from scratch every few years, which costs more than keeping them current and produces a gap in the history that no system can reconstruct.
